Contains |
Searches for any of the specified text within this field. In this example, it searches for reports that contain the word Road in the Report Name field. |

Not Contains | Searches for reports that do NOT have any of the specified words or within this field. In this example, it searches for reports that DO NOT contain the word Road in the Report Name field. | |
Equals | Searches for reports that have this specific text ONLY. In this example, it searches for reports that ONLY contains the word Road in the Report Name field. | |
Not equal | Searches for reports that do NOT have this specific text. In this example, it searches for reports that DO NOT only contain the word Road in the Report Name field. | |
Starts with | Searches for reports that begin with this specific text. In this example, it searches for reports that have a report name that begins with Road in the Report Name field. | |
Ends with | Searches for reports that end with this specific text. In this example, it searches for reports that have a report name that ends with Road in the Report Name field. | |
Blank | Searches for reports that have no text in this field. | |
Not blank | Searches for reports that have text in this field. |

To view the filter menu, select the Filter Icon or the Filter tab.
• In the Filter by Name section, you have the option to choose which 'Rule' is applied to the filter.
In the example below, we have applied the Rule "Starts with" and selected the number "5". This means that the filter will display any reports that have a report name that starts with the number "5".
Note: The filters are applied to the Report list in real time.
- A filter icon will appear beside the column name when a filter is applied.
- Using the dropdown list you can easily change the Rule that is applied to the field.
- The number of filters that have been applied to the Reports List is shown at the top of the screen.
- To remove this specific filter simply select Reset.
- Alternatively you can clear ALL filters by selecting the Remove Filters icon.
Note: Name, Reference and Notes all use this type of filter.
Filter by Inspection Date
In the Filter by Inspection Date section, you have the option to choose which 'Rule' is applied to the filter.
In the example below, we have applied the Rule "In Range" and selected the dates ranging from 06/02/2023 to 31/08/2023. This means that the filter will display all reports that have inspection dates within the date range specified.
- To remove this filter simply select Reset.
Note: Created, Last Modified, Due Date, Data Capture Created and Data Capture Modified all use this type of filter.
Filter by Author Name
In the Filter by Author Name section, unselect the authors you do not want to appear on the list.
- The report list will only show reports by the authors that are selected.
- To remove this filter simply select Reset.
Note: Tags, Status, Data Capture, Data Capture Status, Data Capture Source, Author E-mail and Author Initials all use this type of filter.
- Alternatively, filters can be accessed by selecting the the horizontal lines beside each column heading.
- Within this menu you can also pin the column, change the column size and group data. (see grouping reports below)
Grouping Reports
- To group the data simply select 'Group by Author Name'.
- Data can also be grouped within the Columns tab.
- Select the icon beside the column name and drag and drop it to the Row Groups area (as shown below).
- The data has been grouped by Author Name.
- To remove the grouping select the X icon beside the column name.
Searching Reports
At the top of the web portal, you will find a Search Reports icon.
- Select the icon to reveal the search bar.
- Simply type in the name of the report and the results will display any reports that match this search.
- Select X to remove the search filter and close the search bar.
- You can sort the reports list in either ascending or descending order based on the report name.
- Simply select the column name to sort the data.
