Step 3. The implementation process

Once you have decided to progress with GoReport and signed up to a subscription, our objective is to ensure that you are realising value from your investment as quickly as possible. This article discusses the steps that you will go through and give you a better understanding of what to expect, how to prepare and the likely time commitments required.

Naturally, a sole trader utilising Home Survey standards will have less detail to consider versus a large enterprise specialising in assessing complex asset portfolios. However, the actual steps through the implementation process are common to all.

Setup – A consultant will be appointed to your implementation and guide you through the implementation process. Once you have signed up to GoReport, we immediately set up your account and provide access to a Training Template. The GoReport solution is designed to be intuitive but we know that those first steps with new software can be a little daunting. The training template is designed to give a flavour of many of the different functions in the software to enable the user to gain comfort and understanding as quickly as possible.

As part of the setup process, you will provide us with information such as your company logo, colours etc. to ensure your outputs match your brand guidelines.

Scope Call – The consultant will arrange a scope call with you (or your nominated team members) to kick off the implementation and define the milestones to be achieved in the project. If the implementation is to utilise standards, such as the RICS Home Survey Standards, or GoReport’s own Smart Library, the focus will move straight to training and familiarisation on the use of GoReport for these standards.

If you have opted for a bespoke data capture and report template, the scope call will move into the definition of requirements.

Data Capture & Output Creation (For Bespoke Data Captures) – For clients who are availing of GoReport’s unique ability to rapidly configure bespoke data capture and output requirements, the consultant will discuss the requirements and present opportunities to make the most of digital data capture. The output requirements are a key element to be defined at this point to ensure the data capture will satisfy the output reporting layout and analysis.

Our clients often have examples of current work or aspirations which will have been discussed at the discovery phase and so the scope call and discussion will proceed quickly and our consultants will then move into a phase of configuring your data collection and required outputs.

GoReport clients will deliver a mixture of standard service offerings where the data capture and output layouts do not change regularly. For example, when they are using standards such as RICS Home Survey standard, GoReport’s Smart Library, Fire Risk Assessment Services etc. However, many of our clients will also deliver “project based” commissions where their end client requires a bespoke data capture and report format or data analysis export. These are regular engagements for GoReport and our consultants will take those requests straight to this Data Capture & Output Creation phase.

Once our consultants have configured the data capture and output reports, they will be made available on your account to review.

Review (For Bespoke Captures) – The review phase is primarily for our clients to test that the flow of data collection they envisaged aligns with their workflow in practice and that output reports and data serve their purpose for analysis or structure for import or integration with other systems. We recommend doing this as soon as possible in order to ensure any amendments can be made from the outset and ensure you are “live” as quickly as possible.

Training – Although GoReport is designed to be an intuitive system and the common features are easy to understand, we support our clients in getting up to speed as quickly as possible. The best training is that focused around the actual survey or inspection template(s) intended to be used and so we will organise web based training sessions for your implementation or bespoke templates according to the needs of the client (group sessions or one to one for example).

Handover – Once your initial implementation phase is complete, your account will move into our Customer Care programme and an Account Manager will be appointed to your account to liaise with you on an on-going basis. You can read more about our Customer Care Programme in the following article ➡️

This overview of steps gives a general overview guide to the GoReport implementation process. Obviously, the process will be tailored according to our individual client needs. A typical question that arises from our Prospects is “How much time will I need to commit to the implementation process?”

The answer to this question will depend on a number of factors including the type of Surveys and Inspections that the client performs. For example, in an implementation of a RICS Home Survey Standard or other relevant standards, the end consumer is receiving a standard layout product and has no input. As such, a new GoReport client focusing on this type of service could be up and running within 24hrs subject to their availability for training etc.

If using GoReport’s unique ability to build bespoke data capture and outputs, the lead time to going live will naturally depend on the scoping and review stages and how quickly these can be completed. Our clients will often have an idea of their requirements based on previous work or a specification which speeds the process. However, we also endeavour to support this process and lessen the burden on our client’s by providing as many example template layouts as possible to give the best and quickest start point.
